    How It Works

    When considering a partnership with a medical transcription provider, all healthcare practices must address two very basic questions: “How does the process work?” and “What sort of quality (and speed) can I expect?”

    Together with pricing considerations, the answers to these questions will typically determine how well the relationship with a transcription provider will work. GroupOne HealthSource offers extremely high quality, flexible, and easy-to-use medical transcription services, which are always customized to the needs of our clients.

    There are three key components to medical transcription – dictation, transcription, and retrieval. In each of these areas, GroupOne is committed to providing a service that adds value and efficiency to our clients’ operations.

    Transcription Consultation

    Dictation

    GroupOne uses two methods of capture, depending on the client’s preference and requirements:

    • Toll-free telephone. With this method, providers record dictation directly into a telephone by dialing a toll-free number. The call connects to GroupOne’s dictation server, and all calls are captured accurately and with 100% confidentiality. Clients are provided simple and easy-to-use login and recording instructions.

    • Hand-held digital recorder. Digital recorders offer flexibility and maximum mobility. GroupOne recommends Olympus digital recorders, and provides software that enables seamless and confidential uploading of recorded files to the transcription server.

    Transcription

    At the heart of our transcription service is a highly trained and experienced staff, skilled in a variety of specialties. This, along with our Six Sigma approach to quality and consistency ensures that GroupOne’s transcription meets or exceeds our client’s expectations.

    • Dedicated transcription team. When you work with GroupOne as your transcription partner, a dedicated transcription team will always be assigned to your work. This improves accuracy and efficiency, by ensuring that the team is highly knowledgeable about your processes and familiar with your physicians’ vocabulary and nuances.

    • Multi-layered quality control. The transcription team always consists of a set of transcriptionists, editors, proofreaders, and q/a staff. With a range of functions in place across the team, you can be sure that all your dictation is checked and re-checked for quality and formatting before we consider it complete.

    • Our transcription work adheres strictly to the standards established by the Association for Healthcare Documentation Integrity (AHDI), formerly the AAMT. We consistently produce documents that are at least 98.5% accurate with respect to AHDI standards.

    Retrieval

    GroupOne’s goal is to make sure that you can retrieve your sensitive and critical transcription material as quickly and easily as it was to dictate it in the first place. We offer two retrieval methods, depending on the client’s preference and requirements:

    • FTP (file transfer protocol). With this method, clients download fully formatted, transcribed files through a secure connection to the file server, and save the documents to an on-site, local computer. Any additional changes made by the client are saved locally.

    • Workflow System. Clients also have the option of using GroupOne’s unique software system for retrieving transcribed files and accessing a range of additional, value-added features. Features include online viewing and editing of files, applying digital signatures, and sending faxes to referring physicians.

    Turnaround Time

    GroupOne recognizes that without a timely turnaround, there is little value in a transcription service, regardless of quality.

    GroupOne offers standard, next-day turnaround of transcribed files. As a rule, files dictated by 8pm will be returned by 8am the following workday.

    STAT turnaround is also available. Dictation completed by 1pm will be returned by 5pm the same day. Even shorter turnarounds are available by special request. See Pricing for more details.
